Managing Your Classes

The Classes section is where you'll spend most of your time. Here you can view student rosters, post assignments, record grades, and more.

Viewing Your Classes

  1. Click Classes in the left sidebar
  2. You'll see a list of all classes you teach
  3. Click on any class to view its details

Class Details Page

Each class details page includes:

  • Roster Tab: View enrolled students and their information
  • Assignments Tab: Create and manage assignments
  • Gradebook Tab: View and enter grades
  • Attendance Tab: Take daily attendance
  • Analytics Tab: View class performance metrics

Class Actions

At the top of each class page, you'll find action buttons for common tasks like enrolling students, creating assignments, and taking attendance.

Student Management

Viewing Student Roster

  1. Navigate to your class
  2. Click the Roster tab
  3. View all enrolled students with their contact information and enrollment status

Managing Enrollment

To add or remove students from your class:

  1. Go to your class details page
  2. Click the blue user group icon button (shows multiple person silhouettes)
  3. In the modal, you'll see two lists:
    • Available Students: Students not yet enrolled
    • Enrolled Students: Currently in your class
  4. Check boxes next to students to enroll/unenroll them
  5. Click Save or Enroll to confirm

Important

In some schools, only administrators can manage student enrollment. If you don't see the enrollment button, contact your school admin.

Viewing Student Details

Click on any student's name to view:

  • Contact information
  • Enrollment history
  • Grades across all classes
  • Attendance record
  • Assignment submissions

Taking Attendance

Regular attendance tracking is essential for student success and school compliance. Learvana EMS makes it quick and easy.

How to Take Attendance

Step 1: Navigate to Class

Go to your class and click the Attendance tab

Step 2: Select Date

Choose today's date (or another date if making up past attendance)

Step 3: Mark Students

For each student, select: Present, Absent, Tardy, or Excused

Step 4: Add Notes

Optionally add notes for students marked absent or tardy

Step 5: Save

Click Save Attendance to record

Attendance Status Options

  • Present: Student attended class
  • Absent: Student did not attend (unexcused)
  • Tardy: Student arrived late
  • Excused: Student absent with valid excuse

Quick Tip

Use the "Mark All Present" button to quickly mark everyone present, then just change the exceptions. This saves time!

Viewing Attendance History

To view past attendance records:

  1. Go to the Attendance tab
  2. Use the date picker to select a different date
  3. Or click "View History" to see a calendar view of all attendance

Creating & Managing Assignments

Assignments are a core feature of Learvana EMS. You can create various types of assignments, track submissions, and provide feedback.

Creating a New Assignment

  1. Navigate to your class
  2. Click the Assignments tab
  3. Click Create Assignment button
  4. Fill in the assignment details:
    • Title: Name of the assignment
    • Description: Instructions and details
    • Assignment Type: Homework, Quiz, Test, Project, etc.
    • Due Date: When it's due
    • Points Possible: Maximum score
    • Category: How it's weighted in the gradebook
  5. Click Create Assignment

Reviewing Submissions

  1. Go to the assignment you want to review
  2. Click View Submissions
  3. You'll see a list of all students and their submission status
  4. Click on a student to view their submission
  5. Provide feedback and enter a grade
  6. Click Save

Submitted: Student has submitted work | Pending: Not yet submitted | Late: Submitted after due date | Graded: You've graded it

Using the Gradebook

The gradebook is your central location for managing all student grades. It automatically calculates averages and updates as you enter scores.

Accessing the Gradebook

  1. Navigate to your class
  2. Click the Gradebook tab
  3. You'll see a spreadsheet-style view with students as rows and assignments as columns

Entering Grades

  1. Click on any cell in the gradebook
  2. Enter the student's score
  3. Press Enter to save
  4. The system automatically calculates the percentage and updates the student's average

Grade Entry Options

  • Numeric: Enter points (e.g., 85 out of 100)
  • Percentage: Automatically calculated
  • Letter Grade: A, B, C, D, F (based on your school's scale)
  • Missing: Mark as missing work
  • Excused: Excuse the student from the assignment

Grade Categories & Weighting

Organize your gradebook with categories:

  • Homework: 20%
  • Quizzes: 20%
  • Tests: 40%
  • Projects: 20%

Grade Calculation

Make sure to set up your grade categories and weights in Class Settings before entering grades. This determines how the final grade is calculated.

Exporting Grades

To export gradebook data:

  1. Click Export in the gradebook toolbar
  2. Choose format: CSV or PDF
  3. Select date range
  4. Click Download

Messaging Students & Parents

Learvana EMS includes a built-in messaging system for communicating with students, parents, and colleagues.

Sending a Message

  1. Click Messages in the sidebar
  2. Click New Message
  3. Select recipients (students, parents, or staff)
  4. Enter your subject and message
  5. Click Send
