Welcome to Learvana EMS! This guide will walk you through setting up your educational institution's management system from scratch. In just a few steps, you'll have a fully functional platform ready for your teachers and students.

This quick start guide takes approximately 10-15 minutes to complete.

1 Sign Up for an Account

First, you'll need to create an organization account. This will be your institution's dedicated workspace.

Steps:

  1. Visit the Sign Up page
  2. Fill in your organization details:
    • Organization Name: Your school or institution name
    • Organization Type: Select from K-12 School, School District, University, or Training Center
    • Contact Information: Your name, email, and phone number
  3. Choose your subscription plan (Trial, Starter, Professional, or Enterprise)
  4. Create your admin account with username and password
  5. Review and submit

2 Initial Setup & Configuration

Once you've signed up and logged in, you'll see your dashboard. Let's configure the basics:

Configure School Settings

  1. Click on Settings in the left sidebar
  2. Update your school information:
    • School logo (optional)
    • Academic year settings
    • Time zone
    • Grading scale (A-F, percentage, etc.)
  3. Configure notification preferences
  4. Click Save Changes

Important

Make sure to set your academic year correctly. This affects how data is organized and displayed throughout the system.

3 Add Teachers & Staff

Now let's add your teaching staff and administrators to the system.

Add Individual Users

  1. Navigate to Users in the sidebar
  2. Click Add User
  3. Fill in the details:
    • First Name & Last Name
    • Email Address
    • Username (auto-generated or custom)
    • Role (Teacher, Admin, Student)
  4. Click Create User

Bulk Import Users

For faster setup with multiple users:

  1. Go to UsersBulk Import
  2. Download the CSV template
  3. Fill in your user data
  4. Upload the completed CSV file
  5. Review and confirm the import

Pro Tip

Users will receive an email with their login credentials and a link to set their password.

4 Create Classes

Set up your classes and assign teachers to them.

Create a Class

  1. Go to Classes in the sidebar
  2. Click Create Class
  3. Enter class details:
    • Class Name (e.g., "Math 101", "English Literature")
    • Subject
    • Grade Level
    • Teacher (assign from your user list)
    • Class Schedule (days and times)
    • Room Number (optional)
  4. Click Create Class

Track which rooms classes are held in

5 Enroll Students

Add students to the system and enroll them in classes.

Add Students

  1. Navigate to Users
  2. Click Add User and select role: Student
  3. Fill in student information:
    • Student Name
    • Student Email (optional for younger students)
    • Grade Level
    • Parent/Guardian Contact (optional)
  4. Click Create User

Enroll Students in Classes

  1. Navigate to Classes in the sidebar
  2. Find the class you want to enroll students in and click on it to view class details
  3. Look for the blue user group icon button (shows multiple person silhouettes) in the class actions area
  4. Click this enrollment button to open the student management modal
  5. Browse available students or use the search box to find specific students
  6. Check the boxes next to students you want to enroll
  7. Click Enroll to add them to the class

Quick Tip

The enrollment modal shows two lists: Available Students (not yet enrolled) and Enrolled Students (already in the class). You can move students between lists easily.

You're All Set!

Your EMS is now configured with users, classes, and students. You're ready to start using the full platform!
